Microsoft Exchange synchronization is now available

We're happy to announce that Microsoft Exchange synchronization is now available in Seatsurfing. The new integration keeps your Exchange room calendars up to date automatically whenever bookings are created, changed, or deleted in Seatsurfing.

This makes it easier to use Seatsurfing together with the Microsoft tools many organizations already rely on every day. Teams can continue managing their workplace and meeting room bookings in Seatsurfing while room availability stays visible in Microsoft Exchange and Outlook.

The integration is available for all users of our SaaS version.

What the integration does​

Once configured, Seatsurfing syncs bookings for mapped spaces to the corresponding Exchange room calendar.

The synchronization supports the full booking lifecycle:

  • New bookings create calendar events in Exchange
  • Booking changes update the existing Exchange event
  • Deleted bookings remove the corresponding Exchange event

Sync jobs are processed asynchronously in the background, and temporary Microsoft API issues are retried automatically.

Easy setup for administrators​

Administrators can enable the integration from the Cloud Features section in Seatsurfing. After entering the Microsoft tenant and application credentials, they can test the connection directly from the admin UI and then assign Exchange room email addresses to the spaces that should be synchronized.

For organizations with stricter security requirements, the integration can be limited to room mailboxes only by using Microsoft's Application Access Policies.

Built for real-world room booking workflows​

The Microsoft Exchange integration is especially useful for organizations that manage room bookings centrally in Seatsurfing but still want Exchange calendars to reflect the current schedule. This reduces duplicate work and helps employees find the right information in the tools they already use.
